How to Apply for Transcripts and Authentication from MSBTE for Higher Education Abroad

If you're planning to study abroad and need transcripts and authentication from the Maharashtra State Board of Technical Education (MSBTE), the process can be time-consuming and tricky.


Based on my personal experience, I’ve broken down the entire process step by step to make it easier for you.


Note: The process may change over time. I completed my application in January 2025, and some steps may have changed since then. Hopefully, MSBTE will introduce an electronic process for sending transcripts and attestation in the future.


What is a Transcript?

A transcript is a one-page document that contains the student's name (as per the final Board Certificate), total marks of the final year or last two semesters, and the Teaching Examination scheme of the course.


By and large this information alone isn't enough since universities abroad also need to see what subjects you studied and how much you scored and therefore authentication too is required.

What is Authentication?

Authentication consists of xerox copies of your mark sheets and diploma certificate certified as true copies by MSBTE. Universities abroad require both transcripts and authenticated copies to verify your marks and course completion.


Important: MSBTE does not send transcripts electronically. However both transcripts and attested copies are sealed together by the board and can be sent by you.


The official MSBTE transcript and authentication process is also available on their website.


I applied for authentication on 24th December 2024 by visiting the MSBTE office in Bandra East. The process was completed by 10th January 2025 (14 days). Likewise, I applied for the transcript on 25th December 2024 (online) and received an SMS on 2nd January 2025 (7 days) that it was ready.


If you are in a hurry, I recommend completing the authentication process first by visiting the MSBTE office.



Step 1: Applying for Transcripts (Online Process)

The transcript application is an online process, but the AapleSarkar website is difficult to navigate. Be prepared to spend some time figuring it out.


Steps:

  1. Visit the Aaple Sarkar website.

  2. New User Registration → Select 'Option 2' → Fill out the registration form.

  3. After logging in, on the left-hand side, find Higher and Technical Education Department.

  4. In the sub-departments, select Maharashtra State Board of Technical Education.

  5. Click Transcript Certificate and proceed.


Filling Out the Application:

  • Page 1: Basic details such as Name, Address, College Name, Course, and Final Marks.

  • Page 2: Requires uploading documents such as a photo, signature, and supporting documents.

Tip: The site asks for a School Leaving Certificate. If unavailable, other ID proof (e.g., Driver’s License) may work as mentioned by MSBTE website here.


Uploading Marksheet Documents: Documents must be 75-100KB in size. Compressing PDFs to this size can be tricky since it is not easy to downgrade the pdfs to a particular size. I used Canva Pro to maintain readability while compressing the file to the required size.

Website Issues: The site frequently crashes, shows blank screens, or refreshes instead of proceeding. If this happens, retry after a few hours.


Payment:

  • Charges:

    • ₹800/- for the first transcript copy.

    • ₹400/- for each additional copy.

  • Once the payment is completed, the status will show Pending Scrutiny (but this status may not update even after receiving the transcript). The best way to track progress is via SMS notification.



Step 2: Authentication Process (Offline at MSBTE Office)

Steps:

  1. Visit the MSBTE Bandra East office (4th Floor).

  2. Collect and fill out the authentication form from the window just outside the entrance.

  3. Submit xerox copies of mark sheets and diploma certificate. (If you need three copies authenticated, submit four.)

  4. Ensure that the copies of back pages of certificates (if any) are xeroxed on the back side of the main page and not separately.

  5. If you need extra copies, get xeroxes done in advance. The nearby Government Polytechnic ground floor xerox centre occasionally has long queues because the students there usually xerox notes in bulk and it usually takes time.

  6. Their lunch hours are from 1pm to 2pm so schedule accordingly to save time.


Payment:

  • After submission, proceed to the Accounts Section to pay fees.

  • Fees:

    • I was charged ₹1900 for three copies (exact per-copy fees may vary).

  • You will receive a receipt with an application number. Keep it safe!


Status Tracking:

  • A staff member will provide a secret phone number to check the status.

  • Reality Check: I called six times over three weeks, but no one answered. Many students have similar complaints (check MSBTE Google reviews).



Step 3: Transcripts Sealing Process

Once authentication is complete (You will never know when it is complete. So wait for 15 days at least):

  1. Return to the MSBTE office.

  2. At the same counter where you submitted the authentication request, collect the attested copies.

  3. Proceed to a designated department where transcripts and attested copies will be sealed together in an official envelope.



Final Thoughts

  • The authentication process is smooth, and the staff is helpful.

  • Common pain points:

    • The AapleSarkar website is buggy. (Keep patience)

    • Phone support is unreliable. (Offline is the only method to know update on authentication completion)

    • Be prepared with all documents and extra xerox copies to save time.
